V. OTHER INFORMATION (See also Appendix B)
A. Identification Cards
ID cards with photographs are issued to all Juilliard employees through the Office of Facilities, Maintenance and Engineering. Faculty, staff and students must use their ID card to enter the building. Those who do not have their ID card with them cannot enter until the security officers have verified them using rosters that they maintain at the front desk.
B. Visitors
Visitors must be screened by the security officers before they are allowed to enter the building. If a guest is coming to visit a faculty member, the faculty member can pre-authorize, on the same day, their temporary entry to the building, in the sign-in notebook at the security desk. If the visitor has been pre-authorized, the security officers will allow entry to that visitor after s/he has signed in.
C. Use of Studios and Rooms
Room and studio assignments are made by the Office of the Registrar to best utilize the heavily used space at the School. Studio Teachers are allotted space sufficient to teach each student once per week. Studios are to be used only by a Juilliard faculty member to teach currently enrolled Juilliard students. Exceptions can only be granted by the President or Dean. Space for make-up lessons will be arranged on an ‘as needed’ basis. Please notify the Registrar’s Office when assigned space is not being used so that the space can be given out as needed. Pre-College lessons should be given all day Saturday and weekdays only after 4:00 p.m.
D. Keys
The Associate Vice President for Facilities Management is the only authorized agent to distribute keys to rooms in the Juilliard building. Faculty and staff members, and students who are authorized to hold keys, should never give or lend their keys to anyone else. Non-affiliated individuals – even if they have borrowed a key from an authorized student, or a colleague – will not be allowed to enter the building unless their host has pre-authorized their entry in the notebook at the security desk.
Any student found with an unauthorized key is subject to disciplinary action or dismissal.
E. Piano and Harpsichord Moving
Pianos may not be moved from one room to another or within a studio or classroom by students or faculty members. Requests for moving within a room must be directed to the Office of Facilities, Maintenance and Engineering.
Harpsichords may not be moved by faculty members or students. To arrange for a harpsichord to be moved, written notice must be given to Maria Rojas, Faculty Mailbox #83, at least 3 days in advance.
F. Mailroom
The Mailroom, located in Room 234, is responsible for all incoming, outgoing and inter-office mail for faculty, students and staff. Mail deliveries and pickups are made three times daily to all administrative offices on the second floor at 10:30 a.m., 2:30 p.m. and 3:30 p.m. Mail is delivered and picked up on other floors as part of the 10:30 a.m. and 3:30 p.m. mail runs. Student mail is delivered daily to the student mailboxes located on the north wall of the Mailroom, opposite the Copy Center. Outgoing mail can be brought to the mailroom until 4:20 p.m. for delivery to the Post Office that day. To promote security, only authorized mailroom employees are permitted to enter the designated mailroom work area, and to handle the mail.
G. Photocopy Center
The Photocopy Center is located in Room 237. Administrative staff, faculty and authorized students may use two copy machines: a Xerox DC 480 for medium volume jobs (up to 75 pages), and a Xerox DC 535 for small volume jobs (up to 20 pages). An access code is required. All jobs exceeding 75 pages must be submitted to the Copy Room operator with a completed Photocopy Request Form.
Requests to photocopy copyrighted material must be approved in advance by the Library with a PHOTOCOPY REQUEST: COPYRIGHT APPROVAL FORM. These forms are available in the Photocopy Center or in the Library. The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials. The School's equipment may not be used for unauthorized photocopying.
Personal copies may be made on either machine at a nominal charge of $.20 per copy, with a limit of 20 copies.
H. Fax Machines
The Fax Machines are located in Room 238, next door to the Financial Aid Office window. Faxes are received 24 hours a day. All staff, faculty and students may receive faxes. Staff faxes are distributed with the regularly scheduled mail deliveries. Faculty faxes are sent to faculty mailboxes or forwarded by mail if there is no faculty box. Student faxes received between 9 a.m. and 5 p.m. are immediately placed in student mailboxes. Faxes received later are delivered the following workday.
Faxes may be sent from 9 a.m. to 5 p.m. by staff and faculty. Students must have permission from the dean to send a fax. Charges are posted in the Fax Room.
I. Mail
Faculty mail is distributed to the faculty mailboxes on the fifth floor. Unless otherwise requested, the same mailbox will be retained from year to year. Mailbox assignments and combinations may be obtained from the mail services manager, Luis Rivera in Room 234.
J. E-Mail
All Juilliard faculty members have been assigned an e-mail address through the Information Technology Department. Faculty members will benefit from regularly checking their e-mail since increasingly Juilliard will communicate with faculty electronically. Computer terminals are located in the Faculty Lounge (Room 536); in the Computer Center (Room 248); on the fifth floor next to Stairway D; and on the fifth floor opposite Room 557. If a faculty member is not familiar with using e-mail, s/he should speak to the IT Department, or the Faculty Assistant, located in the faculty lounge, for instruction. The IT Department is located in Room 248 and can be reached at extension 7121. The IT staff is available to assist faculty members with any computer related issues or questions, so please feel free to call on them.
Juilliard e-mail can be accessed from any PC with an Internet connection anywhere in the world. Instructions on how to access e-mail remotely can be obtained from the IT Department.
K. Messages
Faculty messages for music faculty are taken by the Faculty Assistant at extension 352 in the Faculty Lounge (Room 536 - across from the Library). Messages that are not urgent are taped to the studio door, or, if a non-teaching day, are put in the teacher’s mailbox. Lesson cancellations and urgent messages are delivered personally whenever possible. Please note that the Faculty Assistant does not take messages from students who will be absent from classes. Please direct any special concerns or requests regarding messages to the Faculty Assistant.
Faculty messages for Dance, Drama and Vocal Arts faculty are taken by their respective offices.
L. Faculty Lounge
The Faculty Lounge is located on the fifth floor across from the Library. The lounge houses four PCs, two private telephone booths, a microwave, small tables for eating, and comfortable seating. There is a filtered water cooler with hot water for tea, and there is always hot coffee and fresh milk available.
As stated above, the Faculty Assistant is also located in the lounge. In addition to handling phone calls for faculty, the Faculty Assistant is available for a limited amount of typing and to respond to faculty needs whenever possible. Accompanist timesheets are also handled by the Faculty Assistant.
The Faculty Assistant is also available to assist faculty members in using Juilliard e-mail.
M. Bookstore
The Bookstore, located on the street level, sells academic texts needed for classes, plays, music, music books, pocket scores, all types of supplies, and Juilliard T-shirts and sweatshirts. Discounts on merchandise are available for faculty members.
Faculty members can also special order any music or books that are in print. For further information, please see the Bookstore Manager.
N. Health Office
General health care and emergency first-aid, along with a variety of health and wellness services, are available for students in the Student Health and Counseling Services office, located on the 22 nd Floor of the Rose Building. A full-time Physician Assistant, Medical Assistant, and Administrative Director staff the office. In addition, the following consultants are available to students on site: Family Practitioner, Physical Therapist, Orthopedic Surgeon, Nutritionists, and Mental Health Practitioners. Students are encouraged to call the Student Health and Counseling Services for an appointment with any of these providers.
O. Counseling Services
The mission of the Juilliard Counseling Service is to provide supportive psychotherapy to assist students in meeting their emotional, psychological, and mental health needs. Our services advance the academic and performance missions of the School by facilitating personal development, self-awareness, problem solving and communication. The Counseling Service carries out its mission through three essential roles and functions including counseling and psychotherapy, consultation, and outreach programming.
The Juilliard Counseling Service has a clinical director of counseling and five consulting psychotherapists who are all available to students on-site at various hours Monday through Saturday during the academic year. Appointments at therapists’ private offices may be granted upon special request. We also have a consulting psychiatrist to whom students who require medication are referred (free-of-charge). Counseling services are conducted in soundproofed counseling rooms or at the private offices of our therapists, and there is a counseling waiting area that is separate from the health clinic side. The Counseling Service has its own separate phone number (769-3918) that students may call to schedule an appointment or to speak with a therapist.
The Juilliard Counseling Service maintains the highest standards of confidentiality of all psychotherapy records and information. Psychotherapy records are kept in locked file cabinets in the Counseling Service therapy rooms, which are also locked. Access to psychotherapy records is limited to the therapists and psychiatrist who are members of the Counseling Service team. The Counseling Service has a written policy regarding the confidentiality of patient psychotherapy communications and records. This may be found in the Service’s “Policies and Notice of Information Practices,” a copy of which is available in the waiting area of the Health Services clinic, or upon request.
P. Administrative Referrals
The Administrative Referral is a formal administrative procedure developed to assist the Administration in reaching a particular decision or determining an appropriate course of action for a student whose behavior or personal circumstances may be interfering with her/his artistic and/or academic progress. Intended to be a preventive measure as well as a remedial one, the Administrative Referral consists of a required meeting with an Administrative Consultant. Consultations are arranged through the Vice President for Academic Affairs at extension 351.
Q. Fitness Center
The Fitness Center, located on the 22 nd Floor of the Rose Building, is available to all faculty, staff, interns and students upon presentation of a valid Juilliard ID card to the security guard on the 11 th Floor. The Fitness Center is open 24 hours a day, seven days a week. Use of all strength training equipment (Cybex machines) and the treadmills is limited to the hours of 7:00 a.m. to 10 p.m.. Faculty members interested in using the Fitness Center must first complete a Registration/Waiver Form in the Office of Residence Life on the 11 th Floor and receive a code to enter the Fitness Center. When the access code is changed, approved users will receive an e-mail informing them of the changes throughout the year.
R. Library
The Lila Acheson Wallace Library is a comprehensive resource for the School’s performance and research needs. The collection includes more than 68,000 music performance and study scores; 20,000 books on music, dance, drama, and general academic subjects; 25,000 sound recordings (LPs, compact discs, reel-to-reel, cassette, and DAT tapes), and 1,200 videos. Included among the holdings are numerous rare printed editions, manuscripts and manuscript facsimiles, and scholarly editions of composers’ collected works.
The Arthur and Adele Schlesinger Media Center, which is located on the library mezzanine level, houses facilities for listening to LPs, compact discs, cassettes, DAT, and reel-to-reel tapes. CD recordings circulate to students, faculty and staff for a period of one week, with no renewals. LP recordings and tapes do not circulate. However, faculty members may request to borrow LPs or tapes for use in class preparation or in the classroom.
Faculty members and administrative staff must have their valid Juilliard ID card with them in order to borrow materials or to use the Media Center, and are permitted to borrow circulating scores and books for a semester. However, it is requested that materials be returned as soon as possible in order to make them available for circulation to others. Faculty members and staff are not charged fines for overdue materials but will be charged the price of a replacement copy in the case of lost or damaged items. Multiple copies of miniature scores and other materials may be requested by faculty members for use in the classroom.
The Juilliard School Archives is the official repository for the School’s administrative records and historical documents. Archival materials are housed in the Library and in Room 223. Staff members and faculty must set up appointments in advance to use archival documents. Research inquiries should be directed to extension 367 or 265.
S. Orchestra Library
The Orchestra Library provides and maintains parts for all concerts performed by the Juilliard Orchestra and Chamber Orchestras, the Juilliard Symphony and Chamber Symphony, the Pre-College, Dance, Opera and Chorus. The librarians work with conductors to produce the desired set of parts, and put in all bowings based on each conductor’s requests. The Orchestra Library also serves as a lending library to students who want to practice parts for lessons, rehearsals and auditions.
T. Recording Department
The Recording Department records all public performances in the Juilliard Theater. These tapes are held in the Juilliard Archives. Student recitals can be audio and/or video taped if requested and paid for by the student. The Department is responsible for installing and servicing audio and video equipment in classrooms as well as the Juilliard Library. The Recording Department has a state-of-the art control room, and is equipped to record concerts from all the major halls in the School. Students may also sign up for recording time in the recording studio. Cassette, reel-to-reel, DAT and video tape duplication are also provided. Sound effects for Drama, Opera and other productions are engineered in this facility.
U. Emergency Procedures
When a Fire Alarm sounds, it must be taken seriously. Specific instructions will be broadcast over the hallway PA system as soon as possible. However, you must assume the alarm is real and begin to evacuate unless the PA announcement informs you otherwise. Faculty members should know the location of the nearest stairway to their classroom or teaching studio since, in a real emergency, the elevators will not be operational.
If a Security Emergency arises during business hours (9:00 a.m. to 5:00 p.m.), please call the Office of Facilities, Maintenance and Engineering, extension 311, and a security guard will be sent to assist. At all other times the Security Desk may be reached directly by dialing extension 246 or 247.
If there is a Medical Emergency, either call 911 directly , or call the front security desk, ext. 246, and inform them that there is a medical emergency and ask them to call 911 . In any event, call or send someone to Security to let them know the circumstances. When 911 is called, they will ask for the company name, address to which the ambulance should respond (which is the front door with access from 165 West 65 th Street at the base of the Rose Building), the patient’s exact location (floor number and specific area), the general nature of the medical emergency, the caller’s name and the callback telephone number. It is important for the 911 dispatcher to be told the general nature of the patient’s illness or whether the patient has been injured (from a fall, in an assault, etc.), so that the paramedics can immediately bring the appropriate equipment and medical supplies from the ambulance to the patient as soon as they arrive on the scene. Do not leave the patient alone. If 911 is called from a cell phone, be aware that an automatic lock-out will be placed on the number for up to one hour which will prevent you from calling out or receiving calls. This is to keep the line clear in the event the 911 operator or the ambulance needs to reach you. You may ask someone to contact Health Services (Ext 282) to let them know of the situation. Health Services practitioners are not equipped to attend to an emergency, so be sure that 911 is called first.
In the event of a Snow Emergency, the following radio stations will announce any cancellation of classes: WCBS, 880AM; WINS, 1010AM; and WQXR, 96.3FM.
V. Student/Faculty Hospitalization
Out of its responsibility to the welfare of its students, the Juilliard Administration needs to know if a student is hospitalized, whatever the reason may be. Therefore, it is school policy that any Juilliard faculty or staff member who becomes aware of a student’s hospitalization should inform the Vice President for Student and Legal Affairs, extension 365. To protect the student’s confidentiality, the reason for hospital admission (whether medical or psychiatric) does not need to be specified. Any member of the Juilliard faculty/staff who becomes concerned about the unexplained absence of a student also should notify the Vice President for Student and Legal Affairs.
If a faculty member becomes hospitalized, s/he should notify the Dean’s Office, extension 204, as soon as possible.
W. Cafeteria
The Juilliard/SAB cafeteria is located on the Plaza Level of the Rose Building. During the school year, it is open to all Juilliard employees and their guests from 7:30 a.m. to 7:30 p.m. Monday through Friday; 8:00 a.m. to 6:00 p.m. Saturday; and 11:00 a.m. to 6:00 p.m. on Sunday. Hours during school vacations and during the summer will be posted at the entrance to the cafeteria.
X. Discounts at Lincoln Center
A 20% discount for Juilliard employees is available at all times at the Lincoln Center Performing Arts Shop, the Metropolitan Opera Shop, Avery Fisher Hall Gift Shop, and the Gallery at Lincoln Center.
Y. Restaurant Discounts
Juilliard employees receive a 10% discount for themselves and their guests at all times upon presentation of their ID card at the following:
