XIII. APPENDIX A - DIRECTORY OF ADMINISTRATIVE OFFICES
ACADEMIC AFFAIRS - (Room 221)
In cooperation with the President, the Dean and various standing committees, this office interacts with faculty and students in matters of academic advisement, curriculum development, and scholastic standing. Development of academic policy in compliance with state and federal regulations is a key responsibility. This office also serves as liaison with academic and administrative offices; Fulbright program advisor; reporting line for the Administrative Referral Consultant; and coordinator of teaching fellowships/assistantships and certain commencement activities.
ACADEMIC SUPPORT SERVICES - (Room 235)
The Office of Academic Support Services (O.A.S.S.) provides focused services for low-income students, first generation students, students with disabilities, and students typically underrepresented in higher education. The goal of these specialized services is to maximize the academic success and persistence to graduation of all students, and to ensure that all Juilliard programs, activities, services and facilities are accessible, and are in compliance with Section 504 of the Rehabilitation Act of 1973, the Americans With Disabilities Act of 1990, and other relevant state and federal legislation.
ADMISSIONS - (Plaza Level)
The Office of Admissions communicates with prospective applicants to The Juilliard School and coordinates all Entrance Auditions for Music, Dance and the Juilliard Opera Center. The Drama Division schedules its own auditions, but all other application procedures for Drama are administered through the Office of Admissions.
ALUMNI RELATIONS – (See NATIONAL ADVANCEMENT) ASSISTANT DEAN/CHAMBER MUSIC/MENTORING SCHOLASTIC DISTINCTION - (2nd floor)
In cooperation with the President, the Dean and the Vice President for Student and Legal Affairs, the Assistant Dean interacts with faculty and students in all aspects of the administration and development of the Chamber Music program, ChamberFest, the Mentoring Program, the Scholastic Distinction program and also co-coordinates the Juilliard Colloquium. Student advisement and faculty liaison for these programs are primary areas of emphasis. This office also offers a comprehensive array of applications for chamber music festivals and competitions worldwide.
ASSOCIATE DEAN/PERFORMANCE ACTIVITIES - (2nd Floor)|
The Associate Dean supervises the Performance Activities office, which consists of the orchestral programs. The office plans the majority of orchestral activities, engages conductors and coordinates with the Dance and Opera divisions regarding orchestras for their productions. The Associate Dean also organizes special instrument master classes and counsels students with scheduling problems as they pertain to their involvement in the orchestra.
CAREER DEVELOPMENT - (Room 476)
This office’s main responsibility is to assist both current students and alumni in career planning. Students, alumni, and faculty schedule individual appointments with either the Director or Assistant Director to discuss career goals and develop career strategies. Additional assistance is provided on writing resumes, curriculum vitas, cover letters, and preparing a press kit. The office also maintains a roster of student and alumni musicians who are interested in, and qualified for, concert and commercial performances. Confidential files for students and alumni containing letters of recommendation from instructors and employers are kept on file and mailed to prospective employers and institutions. Announcements for both arts-related and non arts-related opportunities are published in a monthly job-letter bulletin as well as posted on a bulletin board outside of the office. The private teacher directory, a listing of alumni and students in the tri-state area who are interested in giving private music lessons, is compiled and made available to potential students. Listings of summer music festivals and competitions at the local, national and international level are also available. An additional responsibility of this office is responding to and contracting all requests by outside organizations for use of audition facilities within the School. The Director also manages the Professional Mentoring Network.
COMMUNICATIONS - (Room 210)
All press relations are handled through this office, which is the only provider of official information about the School to journalists. Its duties include informing the press of important events and Juilliard-related news, in addition to approving the PR and advertising of rentals and non-Juilliard groups who may use the building and its facilities. The Communications Office acts as liaison with outside publicists representing either the School, individual faculty members or outside interests, and is responsible for advertising Juilliard’s own productions, concerts, master classes and courses. The office distributes all press tickets or invitations to performances and events at Juilliard, and handles most of the School’s printed programs as well as many flyers, three-sheets and promotional materials. The office produces radio programs, supervises featured news and documentary segments, and arranges interviews regularly for all media inquiries, be it TV, radio or print. The office can prepare brief press releases to hometown papers for students’ Juilliard recitals.
CONCERT OFFICE - (Plaza Level)
The Concert Office schedules Paul Hall, Morse Hall, Alice Tully Hall and Avery Fisher Hall for all Juilliard events and runs the Juilliard Box Office for all music, dance, drama and opera performances. This office administers the Juilliard competition program and is responsible for all Chamber Music and Wednesday One O’clock Concerts.
DEAN - (2nd Floor)
The Dean, in consultation with the President and department chairs, hires faculty members, and oversees departments and performance activities. The Dean has the responsibility for the assignment of music students to major teachers and all requests for teacher changes go through this office. Student withdrawals, dismissals and leaves of absence are handled by the Dean, as well as all short-term professional leaves for Music Division students.
DEVELOPMENT AND PUBLIC AFFAIRS - (Room 213)
Working closely with the Board of Trustees and the Juilliard Council, the Development Office raises funds from alumni, other individuals, foundations, corporations and government agencies to underwrite ongoing and special programs, and to help ensure long-term support for the School.
EDUCATIONAL OUTREACH - (Room 245)
Administers outreach training programs and community engagement initiatives that develop communicative artists and broaden the dialogue between Juilliard and its community. Three programs prepare college students to work in public school settings by teaching group lessons (Instrumental Music Program), teaching in classroom settings in a short-term residency that includes chamber concerts at Juilliard (Concert Fellowship/Young People's Concert Series), and teaching classes in year-long residencies (Morse Fellowship). Three programs bring interactive performances to the community; bringing student choreography and dance to intermediate and high schools (PEPS Dance), chamber concerts at Juilliard for fourth graders (Young People's Concert Series), and over four hundred interactive music, dance, and drama performances annually to area healthcare facilities (Community Service Fellowship). Two programs introduce children to a life long connection to the arts; one teaches musical literacy to children ages 4-10 (Combining Literacy Instruction with Musical Beginnings or CLIMB), and the other provides comprehensive, subsidized music instruction to underserved children, ages 8-14 from New York City schools (Music Advancement Program).
EVENING DIVISION - (Plaza Level)
The Evening Division provides music classes for the general public with most classes beginning after 5:30 p.m. to accommodate working adults. Classes range from a variety of appreciation classes to skills-based courses such as music theory, ear training and composition. Select courses offer college credit. Classes are free (with some restrictions) to Juilliard employees and interns.
FACILITIES, MAINTENANCE AND ENGINEERING - (Room 247)
The office is responsible for all custodial, mechanical and security operations of the Juilliard building. This office issues ID cards, distributes keys for teaching studios, and houses the Lost and Found.
FINANCE AND ADMINISTRATION - (Room 226)
This office is responsible for establishing and maintaining the School’s operating budget and also coordinates management of the School’s endowment accounts through outside investment managers. All tuition accounts are handled in this office (coordinating with the Financial Aid Office relative to scholarships and other financial aid), and all tuition and fee payments are collected here. The office pays all bills and handles all other accounting and business functions.
FINANCIAL AID - (Room 233)
The Financial Aid Office assists students with filing applications for financial aid, budgeting, loan management, financial planning and dealing with emergency situations. Decisions concerning scholarship support are made by the Financial Aid Committee.
HUMAN RESOURCES - (Room 228)
The Department of Human Resources develops, implements and coordinates personnel policies and programs. This office administers all benefit plans, including Medical, Dental, Group Life, Disability, Workers’ Compensation, Pension and other tax-deferred annuity accounts, and all leave plans, including vacation, sick leave, personal leave and Family Medical Leave. Faculty contracts are prepared by Human Resources. Job postings for current administrative staff openings are posted on the bulletin board outside Room 228.
INFORMATION TECHNOLOGY - (Room 248)
The department provides and maintains a state-of-the-art Information Technology infrastructure consisting of hardware, software, networking and a dedicated staff at its helm, which forms the platform upon which various services are provided to the Students, Staff and Faculty of the Juilliard School. These services include but are not limited to: a college management and student information system; messaging; Helpdesk; PC laboratories and public access terminals; end user training; custom application development; information technology planning and assessment; music technology support and asset management.
INTERNATIONAL ADVISEMENT - (Room 245)
This office was established to serve the needs of the international student (which makes up 30% of the overall enrollment) and staff community. Advisement in the areas of immigration, entry and reentry of international students into the U.S., Practical Training, work-related issues, and cultural adjustment are the primary responsibilities of the International Advisement Office. This office also houses the English Resource Center, which is a free tutoring center for any student who may need assistance on his/her English writing or speaking skills. The office also provides academic advising and coordinates cultural nights and workshops for the student community.
INTERN PROGRAM - (Room 206, 207)
The Intern Program offers full-time professional internships in technical theater and arts administration. Internships are designed to provide “hands on” experience working with theater and arts administration professionals. Technical theater internships include costumes; wigs and makeup; electrics; props; scene painting; production assistants; and stage management. Administrative internships include Concert Office, Drama Division, Chamber Music, Facilities Management, and Dance Division.
LEGAL AFFAIRS - (Room 222A)
The Office of Legal Affairs advises the Juilliard community on legal issues ranging from contracts to compliance with federal regulations. It provides mediation and legal consultations for students. The office also collaborates with other offices to ensure the mental and physical well-being of the students.
MASTER CALENDAR - (Room 206)
The Master Calendar is a central depository for performance, class and special events information from all departments. This information covers sixteen of the most heavily used spaces. The office coordinates, records and disseminates this information to staff throughout the school year. This office is also involved with future performance planning, scheduling and coordination.
NATIONAL ADVANCEMENT AND ALUMNI RELATIONS – (Room 208)
This office oversees the constituencies of alumni and non-alumni donors at the national level, supporting the message that Juilliard enhances the arts in communities around the world. Through the NAAR office, alumni are provided services and benefits that aid them in their careers and lives. Current students are connected with alumni through the Student Ambassadors program. In addition, National Advancement initiatives introduce esteemed leaders in communities outside of the tri-state area to Juilliard and encourage them to enter into relationships of active and ongoing support of the School.
PERFORMANCE ACTIVITIES - (See ASSOCIATE DEAN)
PRE-COLLEGE DIVISION - (Room 203)
The Pre-College Division presents a complete program of music instruction for young people who show great potential as musicians and who will devote considerable time and seriousness of purpose to their music study. Most of the students are in junior or senior high school, although some are considerably younger. The school meets one day a week, Saturday, from September to May. The Division offers private instruction in orchestral instruments, piano, voice, guitar and composition. The school complements these studies with classes in music theory, ear training and chamber music. The orchestras and choruses of the Division present eleven concerts in the Juilliard Theater each year, and hundreds of solo recitals and chamber music concerts in Paul Hall and other venues.
PRESIDENT - (2nd Floor)
As Chief Executive Officer of the School designated by the Board of Trustees, the President oversees all artistic, educational and financial programs in consultation with members of the administrative staff and the faculty.
PRODUCTION DEPARTMENT - (D Level-Juilliard Theater Lower Lobby)
This department provides technical support for the Drama, Music and Dance Divisions. This includes costumes, lighting, scenery, scene painting, props, sound, wig/makeup, stage managers and designers for the Juilliard Theater, Drama Theater, Room 301, Room 335 and various rehearsal projects. The department monitors all budgets and coordinates the schedules for the drama, opera and dance productions. This office also participates in the finding and contracting of designers, stage managers and other production staff.
PUBLICATIONS OFFICE - (Room 442A)
The Publications Department publishes The Juilliard Journal, the School’s monthly newspaper that is distributed to students, faculty, alumni, and donors, as well as sold to individual subscribers; The Journal is also online at www.juilliard.edu/journal. The department oversees the content and design of the School’s Web site (www.juilliard.edu) and confers with the I.T. Department on content and design for the School Intranet. Publications also coordinates the production of the Juilliard Viewbook, as well as catalogs for the College, Evening and Pre-College Divisions, the Student Handbook, and miscellaneous print and electronic newsletters and brochures.
REGISTRAR - (Room 224)
College Division registration, overall academic calendar, class schedule, jury examination schedule, and studio and classroom assignments are coordinated by the Registrar. All student records, including class schedules, grade reports, annual/graduation jury exams and transcripts, are maintained by this office. Student directory information, official copies of transcripts and letters of certification are made available according to specific procedures. Academic advisement is provided to all students in cooperation with the Vice President for Academic Affairs, Dance and Drama Divisions. Pertinent information regarding class rosters and grades are circulated regularly to the faculty. The Registrar also coordinates the review of satisfactory academic progress through the Scholastic Standing Committee.
RESIDENCE LIFE - (11th Floor, Rose Building)
The Office of Residence Life is responsible for the residence hall and its living and learning environment. This office coordinates the Horizons Program for first-time college students and is responsible for housing visiting faculty. In addition, this office has a housing referral system, which lists alternate living arrangements in the City.
STUDENT AFFAIRS - (Room 219)
The Office of Student Affairs coordinates many programs that shape student life at Juilliard. This office sponsors social events and educational programs throughout the year. This office provides general advisement and referrals to students for school related concerns and personal issues. They also organize an extensive orientation for new students, which includes an Orientation Leader program. The office also publishes the Stray Note, an informal newsletter. The office co-coordinates the Juilliard Colloquium as well as recruitment and retention programs for under-represented students.
